POSITION: Communications & Outreach Coordinator 

Salary Range: $39,000 – $41,000, depending on experience
Benefits:  Health insurance stipend, $520/month

Supervisory Responsibilities:  This position will have no supervisory responsibilities
Reports to:  EOVA Executive Director
Location:  Hybrid, with the ability to travel to the La Grande office 

ABOUT EASTERN OREGON VISITORS ASSOCIATION

Eastern Oregon Visitors Association (EOVA) is a Regional Destination Management Organization serving 11 counties and two tribes east of the Cascades.  EOVA’s mission is to develop, market and promote the Eastern Oregon region as a destination for visitors to enhance regional economic vitality and the quality of life for all residents.  EOVA’s key marketing and development pillars focus on Outdoor Recreation, Cultural & Heritage, and Culinary & Agritourism; develop destination-based products that are in concert with the region’s natural environment, support the stewardship of the state’s resources and its rich history; and provide strategic industry professional development and training opportunities.  EOVA works and partners with destination marketing organizations and other entities that provide tourism marketing, destination management, sales, services or information dissemination to provide leadership and coordination around regional visitor industry issues and communications with statewide partners. 

GENERAL JOB DESCRIPTION

The Communications & Outreach Coordinator supports the implementation of strategies that connect EOVA’s programs to our broader network of industry partners, expanding our reach and impact. Key responsibilities include producing industry communications on EOVA’s website, enews, and other platforms, coordinating with partners and responding to industry callouts in a timely manner, and maintaining organizational systems.  This role supports our industry partners by building awareness of how to connect with industry resources, build cooperative efforts, and further alignment.

Industry Outreach & Communications

  • Coordinates, supports, and in some cases leads on industry communication projects. This will include developing and executing tasks, determining appropriate involvement from other staff and guiding projects from start to finish to meet deadlines. Will primarily include:
  • Support the production of a monthly industry newsletter by collecting articles and summarizing information for industry partners
  • Produce invitations and outreach materials for EOVA events (virtual and in-person)
  • Lead production of other timely industry callouts
  • Serve as primary editor for EOVA’s industry platforms, including industry website, newsletter, and other digital platforms.
  • Proactively coordinates with regional industry partners and ensuring available educational industry material resources are obtained and distributed.
  • Responds to a wide variety of industry-related inquiries from partners; monitors communication channels, flags and forwards sensitive issues to the Executive Director. 
  • Coordinates and attends industry meetings, schedules and supports conference calls, trainings and workshops; creates and distributes agendas and minutes, tracks and follows up on action items, compiles and distributes information packets and reports. 
  • Assist the Executive Director in executing various marketing campaigns in partnership with state and local tourism partners and media outlets.
  • Support in the process of trade show leads by sharing with industry partners, and following up after events.

Other Duties & Responsibilities 

  • Proactively and continuously update the organization’s regional database of industry contacts in Monday.com to ensure it is accurate and up to date; tracking participation and interaction with our industry communication tools based on key performance measures. 
  • Assist with planning, setup and technical support during virtual and in-person meetings.
  • Manage organization email accounts and respond to requests as needed.
  • Assist with Eastern Oregon Visitor Guide preparation, planning, and fulfillment.
  • Process Eastern Oregon Visitor Guide requests.
  • Perform other visitor and industry-facing duties, accommodate unexpected tasks and one-time projects, and other responsibilities as assigned.

MINIMUM QUALIFICATIONS

Education & Experience

A bachelor’s degree in a related field is recommended. The ideal candidate will have a minimum of one to three years of experience in a business-related field or similar office setting. May substitute any equivalent combination of education and experience which provides the knowledge, skills and abilities to perform the essential functions and responsibilities of the position.

Licenses, Certifications & Other Requirements

  • May be asked to pass a background check

KNOWLEDGE, SKILLS AND ABILITIES to include: 

  • Strong understanding of CRM platforms, sufficient to adapt/modify the structure of data within platforms, maintain and use data for campaigns. Examples: MailChimp, etc.
  • Working knowledge of communication, project management and collaboration tools, sufficient enough to ensure project cohesion and allow a diversity of remote stakeholders to experience reliable communication with EOVA and between each other. Examples: Basecamp, Google Workspace, Dropbox
  • Working knowledge of website design platforms, sufficient enough to make edits and updates when needed. Examples: WordPress
  • Working knowledge of video conferencing platforms, sufficient to schedule and support facilitation of virtual meetings and events. Examples: Zoom, Google Meets
  • Working knowledge of graphic design software, sufficient enough to design high-quality charts, graphs and other visual communication pieces. Examples: Microsoft Office Suite, Adobe InDesign, Illustrator, Photoshop, etc.
  • Working knowledge with spreadsheet applications, sufficient to produce basic charts and graphs. Example: Microsoft Excel, Google Docs 
  • Excellent grammar and spelling skills, as well as the ability to craft succinct yet effective communications that are brief yet thorough.
  • Natural collaborative abilities to function as a “team player” and a demonstrated ability to work effectively with peers and supervisors; skill in relationship-building and networking with a diverse population of individuals, organizations, associations, and interest groups.

The physical demands (including lifting, mobility, movement and manual dexterity), work environment and working conditions described below are representative of those that must be met by an employee to successfully perform the essential functions of this job. Physical Demands

In the performance of job duties, the employee is frequently required to sit; talk or hear; walk; use hands for fine manipulation; bend; and reach with hands and arms. The employee must lift and/or move up to 10 pounds and infrequently lift and/or move up to 25 pounds. Specific vision abilities required by this job include close, distance, color and peripheral vision; depth perception; and the ability to adjust focus. Manual dexterity and coordination are required to perform the work. These abilities are necessary to use a provided computer and various software programs, 10-key calculator, phone, copy machine, and other related tools and equipment.

Employees must maintain a safe work environment by complying with safety policies and rules and by practicing safety while performing the essential functions of the position.

Work Environment / Working Conditions

In the performance of the job duties, the employee will perform the majority of this job in an office environment under usual office working conditions. Work is also performed in numerous meeting settings in offices, conference rooms and public spaces. The noise level in the work area is typical of most office environments, with telephones, personal interruptions and background noises. 

LOCATION & SCHEDULE

The successful candidate may live (relocate to) anywhere in Eastern Oregon, unless candidate has recent and extensive knowledge of the Eastern Oregon Visitors Association’s Network and statewide system of Destination Marketing and Management Organizations (DMOs) and  Regional Destination Marketing and Management Organizations (RDMOs). 

This is a hybrid position with the ability to work from the La Grande office. We are open to this being a mostly remote position, with the expectation of increased in-person engagement during the onboarding phase more in-person during on boarding period, to be negotiated between the employee and Executive Director.

This is a full-time position (not to exceed 40 hours/week). While core hours are generally Monday–Friday, 9:00 AM–5:00 PM, there is some flexibility in scheduling, based on mutual agreement with the Executive Director.
